We care about your privacy. This policy explains what personal data we collect at go:do, how we use it, and your rights under UK data protection law.

Who we are (Data Controller)

go:do is a platform that helps people find community, inclusive and disability-friendly sessions, and offers tools to organisations (“Providers”) to manage their activities.

How to use this policy

  • Attendees: people browsing or booking sessions.
  • Providers: organisations listing or managing sessions (free listings or Pro Tools).

Personal data we collect

Data you provide to us

  • Account details (Providers or attendees who sign up): name, email, password, organisation details, role.
  • Session listings (Providers): programme names, descriptions, locations, accessibility info, schedules, pricing (if any), links, documents.
  • Bookings & registrations (Attendees): name, email, phone (optional), accessibility needs or preferences (only if you choose to provide them), booking notes.
  • Communications: messages, enquiries, feedback, support requests.
  • Billing (Providers on paid plans): subscription details, invoices, transaction IDs. Card data is handled by our payment processor and is not stored by us.

Data we collect automatically

  • Usage data: pages viewed, features used, referring URLs, timestamps.
  • Device/technical data: browser, device type, OS, approximate location (city/region), IP address (used for security and fraud prevention).
  • Cookies & similar tech: see “Cookies” below.

Sensitive data

We do not require health or disability data. Attendees may optionally share accessibility needs to help Providers adapt sessions. Where collected, this is processed with your explicit consent and shared only with the relevant Provider(s) to support your participation.

How we use your data (purposes & lawful bases)

  • Provide the platform (listings, search, bookings, messaging). Legal basis: contract or legitimate interests.
  • Provider Pro Tools (sign-ups, reminders, attendance, reporting, community hub, schools assistant). Legal basis: contract.
  • Communications (confirmations, reminders, service updates). Legal basis: contract or legitimate interests; marketing requires consent where applicable.
  • Safety & misuse prevention (fraud, abuse, security). Legal basis: legitimate interests; legal obligation.
  • Analytics & improvement (understand usage to improve features). Legal basis: legitimate interests; where required, consent for analytics cookies.
  • Compliance (tax, accounting, legal claims). Legal basis: legal obligation; legitimate interests.
  • Sensitive accessibility info (only if provided). Legal basis: explicit consent; you can withdraw any time.

How we share information

  • With Providers: attendee booking details and optional accessibility notes are shared with the specific Provider(s) you book/contact.
  • Service providers (processors): hosting, email/SMS, analytics, payments, customer support. We require contracts and data protection commitments.
  • Legal & safety: to comply with law, enforce terms, or protect rights, safety, and security.
  • Business changes: in a merger, acquisition, or asset transfer, data may be part of the transaction (we will notify you where required).

We do not sell personal data.

International transfers

Your data may be processed outside the UK. Where this occurs, we use appropriate safeguards (e.g., UK Addendum to EU SCCs, adequacy decisions) to protect your information.

How long we keep your data

  • Accounts: for as long as your account is active.
  • Listings & bookings: for the life of the listing/booking and a reasonable period thereafter for records, reporting, or legal obligations.
  • Analytics: retained in aggregate or pseudonymised form where possible.
  • Legal: where required to comply with laws or resolve disputes.

Your rights (UK GDPR)

You have the right to:

  • Access your data and obtain a copy.
  • Rectify inaccurate or incomplete data.
  • Erase your data (where applicable).
  • Restrict or object to certain processing (including marketing).
  • Data portability (for data you provided to us).
  • Withdraw consent where processing is based on consent.

Cookies and similar technologies

We use essential cookies to make the site work, and (with your consent where required) analytics cookies to understand usage and improve the service. You can manage your preferences through our cookie banner or your browser settings.

  • Essential: login, security, session continuity, load balancing.
  • Analytics: aggregated usage metrics (e.g., page views, feature adoption).
  • Communications: to remember notification preferences.

We do not respond to “Do Not Track” signals due to industry standards not being finalised.

Children’s privacy

go:do is intended for general audiences. Accounts should be created by adults (e.g., parents/guardians, providers). If you believe a child has provided personal data to us without appropriate consent, contact us and we will take appropriate action.

How we protect your data

We use reasonable technical and organisational measures to protect your information (encryption in transit, access controls, staff training). No system is 100% secure; please use strong, unique passwords and keep them confidential.

Third-party services we use

We may use trusted providers to deliver parts of our service. Examples include:

Marketing preferences

We may send Providers product updates or offers about Pro Tools. We will only send attendees marketing where we have your consent or another lawful basis. You can opt-out at any time via email footer links or by contacting us.

Changes to this policy

We may update this policy from time to time. We will post the new version here and update the effective date. If changes are material, we will notify you by email (if we have it) or via the platform.
